Administrator – £25k

We are seeking an organised and efficient Administrator to provide a customer focused, comprehensive and pragmatic administrative support service to managers and employees.
General Duties
- Answer, handle and direct switchboard calls
- Process visitors to Head Office including deliveries
- Manage meeting rooms and bookings including refreshments and catering
- Proofreading of official documentation prior to distribution to deadlines
- Support Children’s Homes with administration and orders
- Distribution of documentation
- Record, compile, transcribe and distribute minutes of meetings
- Assistance with administration for Head Office meetings and events
- Create purchase order numbers on procurement system
- Resolve administrative problems and enquiries
- Arrange travel and accommodation
- Light housekeeping duties, such as keeping common areas tidy, replenishing low stock
- Respond flexibly to requests to undertake additional reasonable duties to meet the needs of Reception Office to include cover for absent colleagues
- Handling and directing emails received in Admin Inbox
- Collate correspondence (email, telephone and written) from internal and external sources
- Handle enquiries and complaints from external agencies and stakeholders
- Facilitate communication between Head Office staff and the wider company
- Ensure correct escalation of any issues (particularly complaints, referrals, safeguarding issues)
Person Specification
- At least GCSE Grade C or equivalent in English and Maths
- A typing qualification of a minimum of 50wpm
- Experience of working in a busy office environment
- Secretarial/administrative experience
- Experience of liaising with outside agencies and other organisations
- Experience of dealing with issues of a confidential nature
- Attention to detail/proofreading skills
- Excellent communication/telephone skills
- Ability to plan, organise and prioritise workload
- Ability to work on own initiative and as part of a team
